Warehouse With Boxes

The Space That Was Never Really Missing

A surprising transformation powered by disciplined inventory thinking

The story began in a warehouse that always felt too small. Every week, teams struggled to find space for incoming inventory, urgent deployments, and project materials. The floor looked full, the shelves looked full, and everyone believed the same thing:

“We don’t have enough space.”

But we didn’t accept that at face value. We started with the 5 Why’s — the simplest tool, often revealing the biggest truths.

Why was there no space? Because pallets were piling up on the floor.

Why were pallets piling up? Because disposal pallets weren’t being removed.

Why weren’t they being removed? Because disposal only happened every few months.

Why only every few months? Because the disposal process required long manual steps — asset records, submissions, emails, approvals.

Why was it so manual? Because the workflow had never been redesigned.

And suddenly, the “space problem” wasn’t a space problem at all. It was a workflow problem.

The Fix — Simple, Smart, and Shockingly Effective

We used the company’s existing tools and rebuilt the entire process:

  • Automatic disposal forms using Microsoft tools

  • A clean ServiceNow ticket workflow

  • Monthly disposal cycles instead of quarterly delays

  • Dedicated zones for urgent deployment inventory

The floor cleared. The shelves opened. Urgent deployments became instantly accessible. Project inventory finally had a home.

And then came the surprise.

The Smart Ending — The Space Was Costing $8,500 a Month

For years, the company believed they needed third‑party storage. They paid around $10,500 every month to hold pallets off‑site — more than $126,000 a year.

But once the workflow was fixed, the “lack of space” disappeared.

The warehouse had enough room all along. It was simply buried under a broken process.

By redesigning the workflow, the company:

  • Freed consistent floor space

  • Gained fast access to urgent deployment items

  • Improved project inventory flow

  • Eliminated third‑party storage entirely

And just like that, $10,500 per month was saved — not by expanding the warehouse, not by buying new equipment, but by solving the real problem hidden underneath the symptoms.

Analyzing Financial Data

The ServiceNow Inventory That Was Never Really Accurate

A diagnostic rebuild that protected millions in government‑owned electronic assets

A government operation was struggling with severe ServiceNow inventory inaccuracies. Models were duplicated, serial numbers didn’t match, and thousands of high‑value electronic devices were missing from the system. The database looked full — but the physical inventory told a different story.

The Discovery

Our diagnostic uncovered major gaps:

  • Wrong models and duplicate entries inflating the CMDB

  • Technicians picking items without reporting

  • Manual emails with mistyped serial numbers

  • No SOP for asset creation, tagging, or disposal

  • No standard workflow for updating ServiceNow fields

After validating every category, 5,200 devices were confirmed missing — each valued at over $50,000, representing millions in untracked government assets.

The Diagnostic Process

We rebuilt the inventory truth step‑by‑step:

  • Removed wrong models and duplicates

  • Compared ServiceNow with the configuration system

  • Corrected “In Use but not in Production” items

  • Reviewed RMA tickets and maintenance logs

  • Identified 800 misplaced devices across stockrooms

  • Found 3,500+ assets with incorrect serial numbers due to manual entry

The issue wasn’t the system — it was the workflow feeding it.

The Fix

We redesigned the entire process using existing tools:

  • Built a Power Apps inventory system with automatic barcode scanning

  • Eliminated manual serial‑number entry

  • Created 8 new SOPs for asset creation, tagging, updates, and disposal

  • Limited ServiceNow field access to prevent uncontrolled edits

  • Created a ServiceNow dashboard for real‑time tracking and CMDB monitoring

  • Implemented a standard disposal workflow with ServiceNow ticketing

The Impact

  • CMDB health improved by 97%

  • Millions in government assets protected

  • 8 SOPs implemented to standardize all inventory procedures

  • Real‑time ServiceNow dashboard created for ongoing accuracy

  • Technician accountability increased

  • Data integrity fully restored

The system became reliable — because the workflow behind it was rebuilt with discipline and structure.

Warehouse Teamwork

The Errors That Weren’t Really Errors

A diagnostic breakthrough that restored accuracy, accountability, and flow

A warehouse was facing daily issues with missing items, wrong picks, and inventory showing up in incorrect locations. Orders were delayed, shelves didn’t match the system, and teams kept “fixing” mistakes that always returned. Everyone believed the problem was simple: “Our pickers are making errors.”

The Discovery

Our diagnostic revealed the real issue: end‑of‑shift manual handovers. Wrong picks were being given to drivers without system assignment. These items were untracked, not counted toward targets, and often dumped into a single random location — creating new errors every day.

The Root Cause

Using the 5 Why’s, we found that pickers were manually entering location codes instead of scanning. The system allowed it, profiles weren’t restricted, and the workflow had never been reviewed end‑to‑end. The problem wasn’t accuracy — it was permissions and workflow design.

The Fix

We redesigned the process using existing tools:

  • Disabled manual entries for pickers

  • Allowed manual entry only for specific roles

  • Built a structured “Wrong Pick Return Order” workflow

  • Made returns count toward picker performance

  • Assigned tasks to drivers through the system, not manually

The Impact

Wrong picks dropped by 100%. Inventory accuracy stabilized. Drivers became accountable. The picking → shipping flow became fully predictable.

The warehouse didn’t need more staff or new technology — it needed clarity and disciplined workflow design.
